Chartwells Catering is the exclusive caterer on campus and a global leader in higher education food services. Our people create the hospitality in places where students, faculty, staff, and guests come together to share and discover. We listen closely and work tirelessly to surpass the expectations of guests and campus partners. There are both big decisions and little details to manage as you prepare for a catered event. We invite you to let Carved and Crafted guide you. From designing the perfect menu to personalizing all the details of your unique gathering, our catering services can accommodate any size, theme, or individual requirements, in any location on or off campus. We can work with you to create a custom menu inspired by your unique needs to leave a lasting impression on your guests. All menus follow the Chartwells culinary philosophy: Authentic recipes using the freshest, seasonal ingredients.

Exclusivity

Chartwells maintains the exclusive rights to provide all food and beverage at IUPUI. Chartwells offers a minimum order exclusivity exemption of $100 total event.

Menu Selections

To facilitate a flawless execution of your event, Chartwells Dining at IUPUI request details regarding your menu choices at least two weeks before the event. We request that a primary selection is made to accommodate all your guests. However, we will provide a secondary option for guests with dietary restrictions that call for a special menu.

Special Diets

Special diets are accommodated upon request, we kindly request that your needs be submitted as soon as possible.

Calorie Counts

2000 calories a day is used for general nutrition advice, but calorie needs vary. Additional nutrition information available upon request.

Service Ware and China

We provide high quality disposable plastic ware for all items. Zero Waste service ware may be ordered for an additional fee. China and glassware are available for an additional charge of $5.00 per person for events held outside of the Campus Center. Events held inside the Campus Center will not incur China fees, if China is requested.

Sustainability

Chartwells is always looking for ways to improve our carbon footprint. We are continuing our current efforts by using plant forward menus, local produce, cage free eggs, fair trade coffee and more.

Left Over Food

Commercial food that sits out for two or more hours should be disposed of and is not fit for consumption. If there are any remaining meals that were not sent out for consumption, we are a proud supplier and partner to IUPUI’s Campus Kitchens, who has the opportunity to retrieve any extra meals to minimize waste and help provide for Indiana’s under served.

Guarantees

The customer will notify Chartwells, no less than three business days prior to the event, with the minimum number of persons the customer guarantees will attend the event (the guaranteed guest count). If customer fails to notify Chartwells of the guaranteed attendance within the time required, Chartwells shall prepare for and provide services to the persons attending the event on the basis of the estimated attendance specified in the BEOs, and such estimated attendance shall be deemed to be the guaranteed guest count. Chartwells will be prepared to serve three percent (3%) above the guaranteed count, up to a maximum of 30 meals.

• If this Overage is used, the Customer will pay for each additional person at the same price per person/per item, plus applicable service charge and sales tax.

• Should additional persons attend the event in excess of the total of guaranteed count plus the overage, Chartwells will make every attempt to accommodate such additional persons subject to product and staff availability. Customer will pay for such additional persons and/or a la carte items at the same price per person, or per item, plus the service charge and local taxes, if applicable.

Request for Multiple Entrée’s for a Plated Meal

If multiple entrées are requested, the following will apply:

1. If there is a price discrepancy between the two entrées, the higher price will prevail for all entrées.

2. Normal guarantee procedure is required with indication of each entrée count.

3. Some form of entrée indication is required at the guest table (i.e., colored ticket, coded name tags, etc.). This will enable better service by our service staff.

4. There is a minimum of 25 guests when selecting multiple entrées.

Linen

Tablecloths are supplied for all full-service food and beverage tables at events. Tablecloths for nonfood tables are available for an additional charge. Specialty linen may be ordered directly through the catering manager.

Cancellation

We kindly request that cancellations be made three business days prior to the contracted event date. Cancellations made after this date will be charged in full.

Confirmations

You will receive a confirmation email when your order is placed. This confirmation, with its stated terms, constitutes the entire agreement between the client and Chartwells.

Alcohol Beverage Guidelines

Requirement for Service of Alcoholic Beverages on Indiana University premises (FININS 10), outlines procedures regulating the service of alcoholic beverages at any function held on University property and any University function regardless of location. If alcohol is being served at the event, you are REQUIRED to submit an Approval for Alcohol Service on Campus form at least 20 days prior to the event. IUPUI requires approval from the Chancellor's Office before you can serve alcohol on the IUPUI campus. The request should be submitted via email to the Chancellor at cifrench@iupui.edu at least 20 business days prior to the event date. The customer then must submit approval documentation from the Chancellor’s Office to IUPUI Dining Services at least 10 days in advance of the event before any alcohol can be served.

Service Times

All services are based on the following and may vary due to location, number of guests, and volume.

  • Breakfast service is based on four (4) hours which includes one (1) hour for set up, two (2) hours for service and one (1) hour for clean-up.
  • Lunch and Dinner services are based on four (4) hours which includes one (1) hour for banquet set up, two (2) hours for service and one (1) hour for clean-up.
  • Reception service is based on five (5) hours which includes two (2) hours for banquet set up, two (2) hours for service and one (1) hour for clean-up.

Should your Event require extended pre or post service times or in the event that the service period exceeds the above time frame, an additional labor charge of $40.00 per catering attendant and/or waitstaff will be applied.

Advance Notice

To ensure optimal selection and the best possible service, we ask that events be booked at least 14 business days in advance. We understand events arise unexpectedly and we will do our best to accommodate your needs. A rush fee will be assessed for events placed less than 72 hours prior to the event in order to accommodate proper ordering, staffing and scheduling of the event.

Meeting Room and Equipment

Please reserve all non-food related equipment. This will include room reservation, set up of tables, chairs and room configuration, audio visual and other general information.

Supplement Staffing Fees

Unless indicated otherwise, charges for the staffing of your function are included in our service fee. When additional staffing over and above what are normally provided is requested, the following hourly rates will apply. The ratio of servers to attendees varies based on your event. Plated events are set as follows:

  • 1 catering attendant per 20 guaranteed attendees. Please note that a 2-hour minimum, per staff member, applies.
  • Additional Server Fee: $40 per hour
  • Additional Bartender Fee: $100 per hour

Service Charge and Tax Exemption

A 20% service charge will apply to all food, beverage and rental charges. No portion of this charge is distributed to the employee providing the services.

Current state and local sales taxes apply to all food and beverage charges and are subject to applicable tax laws and regulations unless tax exempt. Please be aware not all food and beverage purchases at Indiana University are tax exempt. Please refer to https://fms.iu.edu/tax/sales tax/collecting sales tax/collection matrix/ to determine if your event is taxable. If it is tax exempt, we request tax exempt forms be faxed to our office (317) 321-0119 three business days prior to the event.

Payment

A form of payment (purchase order and foundation account number) is required three business days prior to the event date. If you require a different form of payment (check, cash, or credit card), a 50% deposit is required when placing your order. The remaining balance should be paid one business day prior to the event date. All balances are to be paid in full within one business day following the event.
